Our affluent Client is searching for an experienced, reliable and task-oriented Executive Assistant. The Executive Assistant will work directly with the President (CEO) and will be responsible for performing a number of executive administrative duties. This position will be interacting with clients, large private and public corporations, international bankers, investors, high-net-worth individuals, and business leaders all over the world. The Executive Assistant provides high-level administrative support to the CEO by conducting research, preparing statistical reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings & travel for executives.  The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced corporate environment.


Essential Functions or Responsibilities:

·        Advanced Microsoft Office skills.

·      Type reports, memos, letters and other documents using word relevant computer software.

·         Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution.

·         File and retrieve corporate documents, records and reports.

·         Open, sort and distribute incoming correspondence, including faxes and email.

·         Make travel arrangements and manage travel itineraries for CEO

·         Coordinate executive communications, including taking calls, responding to emails and interfacing with clients

·         Prepare internal and external corporate documents for CEO, team members and industry partners

·         Schedule meetings and appointments

·         Maintain an organized filing system of paper and electronic documents

·         Uphold a strict level of confidentiality


Travel is expected & required for this position.  Must have valid/current passport

·         This is a full-time position and requires you to be available for some evenings and weekends.

·         Idaho will be the base location for this position.  Travel to North America (Upstate New York), Canada & Switzerland.

Education and Required Experience & Skills:

·         Bachelor’s degree.

·         Minimum of 4+ years of experience as an Executive Assistant reporting directly to a CEO or Executive.

·         Must type 100 WPM

·         Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.

·         Exceptional interpersonal skills

·         Sophisticated, friendly and professional demeanor.

·         Poised & fit with high stamina level to endure the rigorous travel schedule.

·         Be very preemptive: by preventing, deterring or anticipating situations or errors that could be made and make necessary measures to ensure the success of task.

·         Understanding that our client is seeking a motivated individual striving to prevent mistakes by developing a conscious desire to do their job right the first time.
